← THE OWNER’S NOTEBOOK

A clearer way to report and follow repairs.

A repair is easier to follow when the problem, conversation and next action stay together. Start with enough information to understand what happened.

Name the place and describe the problem.

Include the property, room and item where you can. Describe what you noticed and when, without needing to diagnose the cause. “There is a drip from the pipe under the kitchen sink” is more useful than “the plumbing is broken”. Add a clear photo when it is safe to do so.

Make the next step visible.

Keep the owner’s acknowledgement, any follow-up questions and proposed arrangements in the same conversation. Distinguish a proposed visit from an agreed appointment. Tenancy notice and access requirements depend on where the property is.

Keep the record together.

Save the original report, relevant messages, photos and the agreed work. NSW Government repair guidance recommends written requests and keeping correspondence and conversation records. This is a useful organisational principle, although local rules differ.

Record what happened afterwards.

Add the work completed, the date and any receipt or follow-up task. Let the tenant explain if the problem is still present. Keep the repair linked to the relevant equipment so it is available when the same issue returns.

Keep urgent help separate.

An ordinary repair thread is not an emergency service. For immediate danger, follow the appropriate local emergency guidance without waiting for a photo upload, an app response or a reply from the owner.

Give the useful details a place.

Keep original photos, documents and the dates you record with the property. Review suggested details, choose what to share and return to the history when it helps. Housetold is on iPhone now, with Android coming soon; invited tenants use it free.
